Privacy policy
This policy explains what personal information Promptwise Advisory collects through promptwise.com.au, why we collect it, and how we look after it. In short: we only collect what you choose to give us and how you found us, we use it to reply to you and work with you, and we never sell it.
Who we are
Promptwise Advisory (ABN 77 109 774 783) is a sales and marketing advisory business based in Sydney, NSW, run by Adam Agresta. In this policy, “we”, “us” and “our” mean Promptwise Advisory. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
- Details you give us in a form: your name, email address, mobile number, company, website, your message, your preferred meeting option and what you’re interested in.
- Funnel Health Check: if you unlock your results, we receive your first name, work email, and optionally your company and mobile, plus your answers, your scores and a link to your results.
- Questionnaires and guide requests: if you fill in the “Check if we’re a fit” questionnaire or ask to be notified about a guide, we receive the details and answers you enter, such as your company, team size, revenue range, budget and timing.
- Our other tools: the AI Visibility Checker and our calculators run entirely in your browser. Nothing you type into them is sent to us unless you submit a form.
- Emails and calls: anything you send us directly, by email, phone or LinkedIn.
- Basic technical information: our website host keeps standard server logs (such as IP address, browser type and the pages requested) to run and protect the site.
- How you found our site: when you fill in a form, we also record how you found our site (for example the search engine, AI assistant, social network, website or campaign link you came from, and the page you landed on) so we know which of our channels are working. Your browser remembers this until you send a form, then we keep it with your enquiry. We never sell or share it.
- Prompt Doctor and site search: searches run in your browser. If the Prompt Doctor has no good answer to a question, we save the question (with the role and industry you chose, but not your name or contact details) so we can write a better answer. If you send a question to Adam, we use your name and email to reply, and keep it with your enquiry.
We don’t use advertising trackers or analytics cookies on this website. You can browse the whole site without giving us any personal information.
Why we collect it
- To reply to your enquiry and book a chat or session.
- To send you a resource you asked for, such as a guide or your Funnel Health Check results.
- To understand your business and point you to the right service before we talk.
- To provide our services and manage our relationship with you, including invoicing.
- To keep the website secure and working properly.
Emails we send you
- Replies about your request: when you submit a form, we’ll reply about what you asked for, such as your results, a guide or a chat request, and Adam may follow up personally.
- Marketing emails only with your consent: we only send marketing emails, such as tips, follow-up emails and our newsletter, if you answer Yes to the email question on our forms. We record when and where you said yes, and the exact question you saw.
- Unsubscribing: every marketing email has an unsubscribe link, and we act on it within an hour. You can also reply “unsubscribe” to any email.
- Email measurement: our marketing emails include a small image and tracked links. They tell us whether an email was opened and which links were clicked, so we can send fewer, more useful emails. We don’t sell this data or use it for advertising.
- Where it’s kept: your details are stored in our Google Workspace and our Notion workspace.
Who we share it with
We don’t sell, rent or trade personal information. We use a small number of trusted service providers to run the business, and they handle your information on our behalf:
- Netlify hosts the website and receives form submissions.
- Google Workspace (Gmail, Google Sheets and Google Apps Script) stores enquiries and sends our emails.
- Notion holds our lead and client records.
- Other business tools we use to deliver our services, such as our CRM, scheduling, accounting and payment providers.
If you ask us to introduce you to one of our build partners or specialists, we’ll only share your details with them once you’ve agreed to the introduction. We may also disclose information where the law requires it.
Social media and platform integrations
Promptwise Advisory runs its own apps, such as Promptwise Publisher, to publish content to and read performance data from Promptwise Advisory’s own accounts. They connect to the Meta (Facebook and Instagram) APIs, the LinkedIn API, YouTube API Services and the TikTok API.
- What we access: details of our own accounts and pages, the posts we publish, and the comments and engagement metrics on them (such as views, likes, shares and follower counts).
- Why: only to publish and schedule our content, reply to engagement on our posts, and report on how our content performs.
- What we don’t do: we don’t sell this data, share it with anyone else, or use it for advertising profiles. We don’t access the private accounts or messages of people who follow us.
- How long we keep it: access tokens are kept only while an app is connected, and are deleted when access is removed. Post and performance data is kept for up to 24 months for reporting, then deleted.
Promptwise Advisory uses YouTube API Services. By using these features you agree to be bound by the YouTube Terms of Service (https://www.youtube.com/t/terms). See the Google Privacy Policy (https://policies.google.com/privacy). You can revoke our access at any time via your Google security settings (https://security.google.com/settings/security/permissions).
Each platform also handles data under its own policies: Meta Privacy Policy, LinkedIn Privacy Policy and TikTok Privacy Policy. Our terms of service also cover these apps.
Information stored overseas
Some of our service providers, including Netlify and Google, may store or process information outside Australia, for example in the United States. We choose providers with strong security and privacy practices.
Links to other websites and affiliate links
Our site links to other websites, including software tools we recommend. Some of these are affiliate links: if you buy through them, Promptwise Advisory may earn a commission at no extra cost to you. Recommendations and rankings are never paid for. Once you leave our site, that website’s own privacy policy and cookies apply.
How we protect it
We keep personal information in secure, password-protected accounts, limit access to the people who need it, and delete or de-identify information when we no longer need it.
How long we keep it
Enquiries that don’t go ahead are deleted within two years. If you become a client, we keep your records for at least five years, as Australian tax law requires.
If something goes wrong
If something happens to your information that could cause you serious harm, we’ll tell you promptly, explain what we’re doing about it and, where the law requires, notify the Office of the Australian Information Commissioner.
